JOB SPECIFICATION OF CLINIC SECRETARY

o Job Title: Clinic Secretary

o Qualification: Graduate, computer literate

o Reports To: Medical Officer

Duties and Responsibilities

1. Carrying out the day to day administrative and organizational work of the RHFPC under the direction of the Medical officer and Branch Manager.

2. Registration of clients, filling profile of client in Client History cards, assigning unique client ID, other necessary recording documents respecting clients’ rights to privacy and confidentiality.

3. Fixing appointments for clients for services, giving follow-up advice and keeping telephonic follow up of clients. in consultation with the Medical Officer and others concerned. 

4. Maintaining and storing records and reports ensuring data security.

5. Maintaining day-to-day records of the RHFPC, preparing periodical progress reports monthly, quarterly and annual basis or as and when required along with program officer/ branch manager.

6. Keeping charge of the equipments, records and all items of assets in the RHFPC and maintaining stock and issue registers for all consumable and non-consumable articles in collaboration with staff nurse and MO.

7. Maintaining records of AMC for clinical and non-clinical equipments in the clinic.

8. Ensuring CMIS daily data entry and back up.

9. Maintaining day-to-day accounts of the RHFPC, keeping charge of the cash and submitting monthly statement of accounts to the Accounts Officer/ Branch Manager.

10. Taking periodical stock of drugs, instruments etc. at the RHFPC, along with staff nurse in charge, as directed by the Branch Office.

11. Liaising with the Branch Office, visiting surgeons and other staff members for the smooth functioning of the Clinic.

12. Clinic Secretary will maintain all records pertaining to the RHFPC (property, municipal taxes, correspondence from Government, insurance papers etc.) and maintain same with the help of the subordinates.

13. Clinic secretary will attend all the trainings/ meetings organized by branch or HQ.

14. Any other duty assigned by the Branch Office.
